Terms of Use — Running Hub Japan

These Terms of Use (“Terms”) govern your access to and use of the website and services provided by Running Hub Japan (“we,” “us,” “our”). By using our Services, you agree to these Terms.

1. Definitions

“Services” means our website, booking features, guided running tours, and related services.

“Customer” or “you” means any person using the Services, booking a tour, or participating in a tour.

“Tour” means any guided running tour or event operated by us.

2. Eligibility

You must be at least 18 years old to book a Tour. Minors may participate only with consent of a parent or legal guardian, and may be required to be accompanied by an adult.

3. Bookings and Contract Formation

A booking is completed when:

you submit a booking request through our website (or other designated channel), and

we confirm acceptance, and

payment is successfully processed.

We may decline a booking at our discretion, including for safety, capacity, or operational reasons.

4. Pricing, Taxes, and Payment

Prices are displayed on our website (or booking page) and may include taxes as stated.

Payments are processed via third-party payment processors (e.g., Stripe). You agree to comply with the payment processor’s terms.

5. Customer Responsibilities (Health, Safety, and Conduct)

You represent and warrant that:

・you are physically capable of participating in a running tour and will not participate if unwell;

・you will follow the guide’s instructions and comply with applicable laws and local rules;

・you will bring appropriate gear (running shoes, hydration, weather-appropriate clothing) as advised.

We may refuse participation or stop a Tour for a participant whose condition or conduct creates a safety risk. In such cases, refunds are handled under Section 7 (Customer Cancellations) unless we determine otherwise in our discretion for safety reasons.

6. Assumption of Risk

Running and outdoor activities involve inherent risks (including falls, traffic, weather, and health-related incidents). You voluntarily assume these risks to the extent permitted by law.

7. Cancellation and Refund Policy

7.1 Cancellations by the Customer

・Free cancellation (0% fee): Up to 24 hours before the Tour start time — full refund.

・Late cancellation (100% fee): Less than 24 hours before the Tour start time — no refund.

・No-show: Failure to arrive by the Tour start time (including no notice) — 100% fee (no refund).

“24 hours before” is calculated based on the scheduled Tour start time (e.g., for a 10:00 Tour, free cancellation is available until 10:00 on the previous day).

7.2 Weather Policy

Tours operate rain or shine. Cancellations due to rain are treated as customer cancellations and are subject to the fees above.

However, in cases of severe weather, natural disasters, or major transportation disruptions, we may cancel or modify the Tour if we determine it is unsafe to proceed:

If we cancel the Tour for safety reasons: full refund.

If we modify the Tour for safety reasons and you cannot participate: we will generally offer a refund equivalent to a cancellation by us, and will confirm details case-by-case.

7.3 Cancellations by Running Hub Japan

If we cancel the Tour for any reason on our side (including guide illness or operational reasons), we will provide a full refund.

7.4 Refund Method and Timing

Refunds are issued to the same payment method used for the original booking. Timing depends on your card issuer/payment provider.

If payment processing fees are charged and are non-refundable, we may deduct such actual costs from the refund amount.

8. Additional Costs (Not Included)

Unless explicitly stated, the Tour fee does not include:

・your internet/communications charges for using our website,

・transportation and accommodation costs to/from the meeting point,

・optional facility fees, admission fees, and food/drinks purchased during the Tour.

These are generally the customer’s responsibility.

9. Intellectual Property

All content on our website (text, images, videos, logos, trademarks) is owned by or licensed to us and protected by applicable laws. You may not copy, modify, distribute, or exploit our content without prior written permission, except as permitted by law.

10. Prohibited Conduct

You must not:

・use the Services for unlawful purposes,

・interfere with the operation or security of the website,

・submit false information,

・harass guides or other participants,

・attempt unauthorized access to systems or data.

11. Disclaimers

We provide the Services on an “as is” basis to the extent permitted by law. We do not guarantee that the website will be uninterrupted or error-free.

12. Limitation of Liability

To the maximum extent permitted by law:

・we are not liable for indirect, incidental, special, or consequential damages;

・our total liability related to a Tour is limited to the amount you paid for that Tour, except where such limitation is not permitted by law.

Nothing in these Terms limits liability for willful misconduct or gross negligence where such limitation is prohibited.

13. Third-Party Services and Links

Our Services may include links to third-party websites or tools (including payment processors). We are not responsible for third-party content, policies, or practices.

14. Changes to the Services or Terms

We may update the Services and these Terms from time to time. Material changes will be posted on our website with an updated effective date.

15. Governing Law and Jurisdiction

These Terms are governed by the laws of Japan. Any dispute arising from or related to the Services shall be submitted to the exclusive jurisdiction of the Tokyo District Court as the court of first instance.
